Job Description

What We Want Built

We want one unified system with:

  • Two intake sources (new content + back catalog)
  • One Google Sheet review queue
  • One approval-based publishing workflow

Intake Source 1 – New Instagram Content

When new Instagram content is published (Reels primarily, possibly carousels):

The system should:

  • Add a new row to a Google Sheet
  • Auto-fill:
  • Instagram URL
  • Original caption
  • Suggested YouTube title (based on caption)
  • Suggested YouTube description (based on caption)
  • Set Status = “Needs Approval”

Intake Source 2 – Back Catalog (Every 5 Days)

Every 5 days:

  • Randomly select one unused Instagram post from back catalog
  • Add it to the same Google Sheet queue
  • Pre-populate caption + suggested title/description
  • Set Status = “Needs Approval”
  • Ensure content is not re-selected in the future

We are fine with either:

  • Building a master list once and randomizing from that
  • Or randomizing from a defined API window

Unified Approval & Publish Logic (Applies to ALL Content)

When Status in the Sheet is changed to “Approved”:

The system must:

  • Publish the content as a YouTube Short
  • Use the edited YouTube Title field
  • Use the edited YouTube Description field
  • Automatically append a fixed footer template to the description
  • Mark the row as “Posted”
  • Prevent double posting

This same logic must apply to both new and back-catalog content.

Tools

  • Make.com (required)
  • Google Sheets (required)
  • Instagram Business account
  • YouTube channel

We do NOT want additional tools unless absolutely necessary.

Deliverables

  • Fully working automation
  • Clean, simple structure
  • Clear documentation
  • Loom walkthrough explaining:
  • How it works
  • How we edit titles/descriptions
  • How to troubleshoot
  • How to pause or modify the drip schedule

We want something our team can understand and manage.
