Job Description
Precision. Speed. Systems.
Remote | Full-Time
Build the Financial Engine Behind a High-Growth Luxury Brand
Bolt Farm Treehouse is not a typical hospitality company. We are a high-performance, AI-first luxury retreat brand built with startup speed and zero tolerance for inefficiency. We move fast, optimize relentlessly, and expect ownership — not task-taking.
We are hiring an Accounting Virtual Assistant (Philippines-based) to support our finance team by executing clean, accurate, and scalable accounting operations. This is a build-and-improve role, not a box-checking position. If you take pride in precision, love clean systems, and thrive in a fast-moving environment, this role is for you.
Our Core Values
Best is the Standard – Excellence in every detail
All-In – Take full ownership, no excuses
Move Fast – Speed with accuracy wins
Wow Every Guest – Excellence extends to every decision
About Bolt Farm Treehouse
Bolt Farm Treehouse is an award-winning mountaintop retreat and spa in Tennessee. Our mission is to create unforgettable, nature-immersive experiences where guests reconnect, celebrate milestones, and restore what matters most.
We operate with high standards, low drama, and extreme clarity. We are an AI-first company — automation handles repetitive work so our people can focus on judgment, quality, and impact.
Your Mission
Support a clean, accurate, decision-ready financial system by executing daily and weekly accounting operations with speed and precision.
You will not be micromanaged — but you will be expected to own your outcomes.
What You’ll Do
You will support our Staff Accountant and finance leadership by owning execution across core accounting workflows:
Own daily transaction accuracy in QuickBooks Online, ensuring consistent account mapping, correct class and location usage, and clean financial data that rolls up accurately into reporting
Lead reconciliations across bank accounts, credit cards, and payment platforms, independently investigating discrepancies, resolving timing issues, and escalating only when judgment is required
Actively support and accelerate month-end close by preparing reconciliations, schedules, and documentation that enable leadership to close faster and with confidence
Maintain and enforce clean vendor records and expense categorization, preventing duplicates, misclassifications, and downstream reporting issues
Proactively monitor AR and AP, flagging overdue items, mismatches, or anomalies and driving follow-ups to resolution
Prepare clear weekly cash, expense, and variance summaries, highlighting notable movements, risks, or trends — not just raw numbers
Maintain audit-ready financial documentation with clear backup, traceability, and logical file structure at all times
Own SOP execution and evolution by improving workflows, tightening controls, and documenting best practices as the business scales
Detect and surface discrepancies, errors, or unusual activity early, with recommended next steps — not just problem identification
Partner on process improvement and automation initiatives to reduce manual work, improve accuracy, and strengthen financial discipline
What You Bring
Bachelor’s degree in Accounting, Finance, or a related field
1–3+ years of accounting or bookkeeping experience
Familiarity with GAAP, hospitality accounting, and deferred accounts
Strong working knowledge of QuickBooks Online, AP systems, and payroll
Excellent attention to detail and accuracy
Comfort working with spreadsheets (Excel / Google Sheets)
Ability to follow structured processes and suggest improvements
Clear written communication in English
High trust with sensitive financial information
Reliable internet connection and a professional remote work setup
You’ll Thrive Here If…
You take ownership without being chased
You catch mistakes before they become problems
You enjoy making systems cleaner and faster
You work well with clear standards and deadlines
You like working with leaders who move quickly and expect results
This Role Is NOT for You If…
You wait to be told what to do
You are comfortable with “close enough”
You struggle with deadlines or consistency
You dislike structure, SOPs, or accountability
You want a slow, low-expectation environment
Compensation & Benefits
We offer a competitive Philippines-based compensation package, structured for long-term partnership:
Hourly rate based on experience and performance
13th-month pay
Monthly health stipend
Long-term role with growth opportunities
Exposure to high-level finance, systems, and leadership
Opportunity to work with a fast-growing, international luxury brand
