About the position
- Responsibilities
- Compose and/or edit letters, memos, reports, and procedures as required by the Project Manager/Project Staff.
- Act as a liaison between the Project Manager/Project Staff and other departments, external contacts, and clients.
- Oversee and process day-to-day administrative items such as expense reports and supply requisitions.
- Assist the Project Manager/Project Staff in planning work schedules and assigning project personnel and equipment.
- Assist in preparing control documents for payroll, payables, and receivable transactions.
- Assist in the development of client invoices with required backup documentation.
- Process vendor/subcontractor invoices for payment by verifying quantities, prices, and payment terms.
- Code purchase orders, subcontractor invoices, and expenditures for cost collection.
- Perform project-related research and data interpretation.
- Provide client assistance to Program Managers and manage scope, schedule, and budget on small projects.
- Maintain areas of technical expertise and assist with project proposals.
- Conduct quality control activities and implement corrective measures for deficient work elements.
- Support cost estimating and bid preparation efforts for active proposals.
- Maintain records through filing, retrieval, and updating.
- Requirements
- Three (3) to Five (5) years of relevant working experience for Level I.
- Five (5) to Seven (7) years of relevant working experience for Level II.
- Seven (7) or more years of relevant working experience for Level III.
- High School Diploma or equivalent for Level I and II; Associate degree in Business Administration or related field for Level III.
- Proficient computer skills, particularly in Microsoft Word, Excel, and Outlook.
- Current driver's license with a clean driving record.
- Nice-to-haves
- Associate degree in Business Administration, Accounting, or a related field (preferred).
- Experience with computerized accounting software such as Deltek/Costpoint.
- Knowledge and experience with Alaska Native cultures.
