Job Description
We’re seeking a detail-oriented, highly responsive back-office assistant to support our rapidly growing driving school. This role is mission-critical: you’ll be the operational backbone supporting our sales team by managing backend logistics — from enrollment and scheduling to student documentation and task monitoring.
Your primary mission is to save the sales team time — freeing them up to focus on closing calls and helping students — by taking full ownership of the operational tasks that keep everything moving.
Key Responsibilities
️ 50% – Driving School Operations (Scheduling + Enrollment Support)
- Coordinate closely with the sales team to assist in new enrollments
- Open, update, and manage instructor availability in Driving School Software (DSS)
- Schedule students based on instructor coverage zones and time efficiency
- Intake new students and onboard them internally
- Communicate with students to collect documentation, confirm appointments, and reschedule if needed
- Maintain accurate records across DSS, HubSpot, and Google Sheets
- Flag any scheduling conflicts or capacity issues early
️ 50% – Light Admin Tasks (CRM + Misc Ops)
- Oversee automations that manage our Google My Business listings
- Ensure scheduled posts go live, listings remain active, and alerts are handled
- Monitor for posting errors, verification issues, or flagged content
- Report issues promptly and help troubleshoot with the team
- Monitor tasks in ClickUp or ConnectTeam and close out checklists
- Toggle CRM settings, edit templates, and manage automations
- Support team with backend tasks as assigned
✅ What We’re Looking For
- Fast, clear English communicator (written & typed)
- Highly organized with fast response times during U.S. business hours
- Familiar with online tools like CRMs, Google Sheets, and task managers
- Process-minded: you look for ways to save others time
- Reliable, focused, and resourceful when solving tech or workflow problems
- Bonus: experience in scheduling, admin coordination, or GMB optimization

Compensation & Hours
- Full-time (minimum 30 hrs/week)
- Pay: $6-8/hour, depending on experience, speed, and responsiveness
