Key Responsibilities
We are seeking a detail-oriented, proactive Bookkeeper & Accounting Administrator to support the financial operations of our growing business with employees in 5+ states. This role combines hands-on bookkeeping with compliance tracking and financial administration. The ideal candidate is tech-savvy, highly organized, and confident managing multi-state financial workflows. - Bookkeeping & Financial Administration
- Manage accounts payable and receivable using Bill.com and QuickBooks
- Reconcile bank and credit card statements; categorize transactions accurately
- Track and monitor expenses, ensuring proper documentation
- Prepare monthly and quarterly financial statements, cash flow reports, and budget tracking summaries
- Generate ad hoc reports and financial summaries for leadership decision-making
- Compliance & Reporting
- Ensure business entity compliance across multiple states, including registrations, licenses, and renewals
- Maintain accurate records of key filing deadlines and proactively manage submissions
- Support leadership with audit preparation, financial documentation, and historical recordkeeping
- Coordinate with tax professionals and payroll providers to ensure smooth financial operations
- Qualifications
- 5+ years of bookkeeping or accounting experience, ideally with multi-state or multi-entity operations
- Strong proficiency in QuickBooks and Bill.com (required)
- Solid understanding of accounting principles and financial reporting
- Familiarity with state-level compliance requirements for business entities
- Excellent organizational and time-management skills
- High level of accuracy and attention to detail
- Strong written and verbal communication skills
- Comfortable navigating cloud-based platforms and creating clear, actionable reports
