Job Description
As Real Estate Virtual Assistant, you will play a pivotal role in ensuring smooth operation for management o9ice while ensuring satisfaction and retention of our existing tenants and prospects.
Qualifications:
Ā Strong written and verbal communication skills
Ā Ability to analyze and resolve customer issues effectively and efficiently
Ā At least 2 years of Virtual Assistant experience specific to Real Estate
Ā Comfortable using various property management systems and other Google/Microsoft products
Ā Must have Bookkeeping experience
Ā Ability to prioritize tasks and manage time e:ectively to meet service-level agreements
Ā Ability to adapt to changing processes and procedures in a dynamic work environment Ā Knowledge of customer relationship management
Ā Proficient in AppFolio and Quickbooks
Responsibilities:
Ā Manage inbound calls and routing to appropriate parties (management, leasing agents, maintenance, including handling and coordinating all maintenance requests)
Ā Handle ordering materials, coordination between the general contractor and outside subcontractors
Ā Manage the web-based marketing sources and property photographs to generate leads.
Ā Guide potential tenants through our current offerings to meet their needs & direct them to appropriate scheduling/application platforms.
Ā Provide virtual support on scheduling showings and conveying pricing
Ā Work to resolve tenant issues, troubleshoot problems, and escalate complex cases to higher levels of support as necessary
Ā Maintain accurate and detailed records of tenant interactions, feedback, and resolutions in the management system
Ā Start/Stop utility services as needed including handling all utility billing/payments online with LADWP and SOCAL GAS
Ā Process invoices via management software
Ā Draft various notices as needed
Ā Act as a general administrative assistant to help manage tentants, vendors, and inhouse tasks
Ā General office management (o:ice supply orders, etc) and ownership errands and administrative requests
Ā Perform market rent research to ensure current pricing is in-line with market
Ā Locate and research potential new acquisitions
Ā Manage contact lists
Ā Calendar and appointment management as needed
Ā Prepare tasks and reminders for the team and follow up as needed
Ā Perform monthly bank reconciliations on AppFolio and Quickbooks for all entities
Ā Ability to reach out/source vendors for procurement, dealing with utility companies, etc.
Job Type: Full-time
Pay: $5.00 - $15.00 per hour
Expected hours: 35 per week
