About the Role
We are looking for an Executive Assistant who is eager to work in a fast-paced and exciting environment. As an Executive Assistant at arenaflex, you will be responsible for providing administrative support to a Senior Principal Engineer and a Director on our Customer Service Leadership Team. Your primary location will be in Seattle, Washington, where you will be an integral part of our team, ensuring that our leaders are able to connect with each other and with our customers in a timely and effective manner.
Key Responsibilities
Your responsibilities will include:
- Managing complex calendars and scheduling to support teams in multiple locations
- Coordinating domestic and international travel arrangements
- Managing expense report coordination and submission
- Organizing, executing, and assisting with team activities, including staff meeting agendas, all-hands meetings, off-sites, and team social events
- Ensuring the timely completion of critical tasks and following up on outstanding matters as a liaison for direct reports
- Working closely with the leadership team, program managers, recruiting, and other Executive Assistants to provide support to the organization
- Helping to develop and maintain new mechanisms within the team
A Day in the Life
As an Executive Assistant at arenaflex, your day-to-day activities will be focused on ensuring that our leaders are able to connect with each other and with our customers in a timely and effective manner. You will play a key role in allowing our Customer Service team to meet customer needs by ensuring that our leaders are able to address the most pressing issues. You will also be responsible for hosting in-person community and learning events, which will help to ensure that our engineers feel connected to their work and are able to continuously improve their technical skills.
About the Team
You will be part of a team that delivers the technology that powers arenaflex's Customer Service. Our Customer Service technology includes chat and voice bots, associate-facing tools, and products that champion the voice of the customer. As an Executive Assistant, you will be managing complex and high-volume requests for multiple Directors' calendars, while supporting other areas of need, such as team events or travel logistics. Additionally, this role involves the development and facilitation of onsite learning, development, and community programs for our software engineering community.
Requirements
To be successful in this role, you will need to have:
- At least 5 years of senior-level leadership support experience, or 3 years of experience in a fast-paced, high-tech company
- A high school diploma or equivalent
- Experience with Microsoft Office products and applications
- Experience with executive-level calendar management
- Excellent communication and organizational skills
- Ability to maintain confidentiality and handle sensitive information with professionalism
Preferred Qualifications
While not required, the following qualifications are preferred:
- Experience leading process improvements
- Experience designing processes to maximize efficiency
- Experience working in a fast-paced, high-tech company
